Founding a Chapter of the Green Meeting Industry Council

The Green Meeting Industry Council has an active group of chapters. We encourage groups of members in a common geographic area to take these steps to found a local chapter of the GMIC.
  • Reach out to Tamara Kennedy-Hill, GMIC Executive Director, to let us know you're interested.
  • Contact potential board members and set up a planning meeting [GET EXCITED!]
  • Define the chapter's geographic Area of Service (Chapters are not recognized until this area contains at least thirty current GMIC members. Check the directory in the member area.)
  • Modify Sample By-Laws (below). You may want to include specific duties for officers.
  • Establish Board of Directors including electing officers
  • Visit the Chapter Leaders Forum (You will need to be a current member, and log in.)
Create a Legal Identity*
  • Check with your state to determine if you need a state number or charter. You may call your Secretary of State Office or visit their website to obtain a brief (about two pages) Articles of Incorporation form. There may be a filing fee. If a board has been established, you may wish to include board members under number nine in the Sample Articles of Incorporation.
  • Complete the Internal Revenue Service (IRS) online Employer Identification Number (EIN) application. You will need the GMIC's EIN which is 20-0148170.

  • Complete [FORM1024  Application for 501(c)6 non-profit status PDF] Instructions are at the beginning, and the form starts on page seven. Keep in mind that you are applying for (c)(6) exemption and do not need to answer questions pertaining to other exemption categories.
Install a Fiscal Management System
  • Use the chapter EIN to open a checking account. DO NOT DEPOSIT CHAPTER FUNDS INTO A PERSONAL ACCOUNT.
  • Have at least two officers on the account
  • Statements should be sent to the chapter office (if there is one) or the Treasurer
  • Formulate a budget with realistic projected income from events and members as well as realistic projected expenses such as Officers and Directors Liability Insurance premiums and a fee to pay a CPA to complete a yearly tax return (FORM990).
  • Modify the Sample Press Release and submit it to the GMIC. Forming chapter may not submit this to the press without GMIC review and consent.
  • Start planning regular meetings, educational or fundraising events, and outreaching to members in your area!
